Your information, handled with care

This policy explains what personal information Lilly Intelligence collects, why, who it is shared with, how long it is kept, and the rights you have. We have written it in plain language. If anything is unclear, ask us.

Effective 17 October 2026Version 1.0

The short version

  • We do not sell your information, and we do not use it for advertising.
  • When you chat with a business that uses Lilly, you are talking to an AI assistant. You can ask for a person at any time.
  • That business decides how your information is used. We handle it on their behalf and only as they instruct.
  • We collect only what is needed to answer you, prepare quotes and pass you to a person when you ask.
  • We do not use your conversations to train AI models.
  • You can ask to see, correct or delete your information at any time.
01

Who we are

Lilly Intelligence is a product of CRMG Technology and Farming, a company based in Windhoek, Namibia. Its company registration is in progress, and we will add the registration number here once it is issued. We provide Lilly, an AI sales assistant that businesses use to answer their customers on messaging apps, websites and in-branch kiosks, and to prepare quotes. In this policy, "we", "us" and "our" mean CRMG Technology and Farming, trading as Lilly Intelligence.

02

Two situations, two responsibilities

You visit our website or deal with us directly

For example, you browse lillyintelligence.com, request a demo, or work for a business that is our client. Lilly Intelligence is responsible for your information.

You chat with a business that uses Lilly

For example, you ask a parts shop for a quote on WhatsApp or at its counter kiosk. That business is responsible for your information and decides how it is used. We process it on the business's behalf, under a written agreement and only on its instructions.

Chatted with a business? For questions or requests about your information, contact that business first. If you contact us instead, we will pass your request to them and help them respond.

We do not ask for, and ask you not to share, sensitive information such as identity numbers, bank card details, health or religious information. If you share it anyway, the business can delete it.

Our website does not use advertising or tracking cookies, and it does not use analytics. It loads its fonts from Google, which means Google receives your IP address when the page loads. Staff who sign in to Lilly's console stay signed in through storage in their own browser.

04

How we use it

  • To answer you on behalf of the business you contacted, including checking product availability and prices.
  • To prepare and send quotes you asked for, by chat, email or a link you can open.
  • To connect you with a person when you ask, or when Lilly cannot help.
  • To keep one record of you per business, so you do not have to repeat yourself when you come back on another channel.
  • To check quality: the business's managers can review conversations to make sure Lilly gave correct answers.
  • To keep the service secure and working, including investigating errors and misuse.
  • To meet legal obligations, such as keeping records the law requires.

We rely on providing the service you or the business asked for, on legitimate business interests such as security and quality, and on legal obligations. We do not sell personal information, use it for advertising, or use your conversations to train AI models.

05

Talking to an AI assistant

  • Lilly is an AI. Her replies are generated automatically from the business's own product, stock and price information.
  • You can ask to speak to a person at any time, and staff can see and join any conversation.
  • Lilly does not make decisions about you with legal or similarly serious effects. A quote is an offer that only applies if you choose to accept it, and staff remain responsible for any agreement.
  • If Lilly gets something wrong, tell the business or us, and it will be corrected.
06

Who we share it with

We share personal information only with the following, and only as far as each needs it:

  • The business you chatted with and its authorised staff.
  • Service providers who run parts of our service for us: server hosting, AI processing (when a business uses hosted AI rather than its own servers), and email delivery. Each is bound by a contract to protect your information and use it only for the service.
  • The messaging app you choose, such as WhatsApp, Messenger, Instagram or Telegram, which carries your messages under its own privacy policy.
  • Authorities, when Namibian law requires it.
  • A new owner of our business, if it is ever sold, under the same protections as this policy.

A current list of our service providers and their locations is available on request.

07

Where it is stored

Our main servers are in the United Kingdom. Some service providers process information in the European Union and the United States. Wherever your information is processed, it is protected by contract, encrypted in transit, and handled only for the purposes in this policy.

Businesses that need their information to stay in Namibia, or inside their own building, can run Lilly on their own servers.

08

How long we keep it

  • Customer conversations and contact details: for as long as the business uses Lilly, and personal details are erased no later than 12 months after your last contact, unless the business sets a shorter period or the law requires a longer one.
  • Quotes: as long as the business needs them for its accounting and legal records.
  • Staff accounts: while the account is active, then removed when the business stops using Lilly.
  • Technical records: for a limited period, only as long as needed for security and fixing errors.
  • When a business stops using Lilly, its information is returned to it and then deleted from our systems.
09

How we protect it

  • All connections to Lilly are encrypted.
  • Each business's information is kept separate from every other business.
  • Staff see only what their role allows, and changes to settings are recorded.
  • Passwords and access keys are stored encrypted.
  • Lilly can read a business's product and price information but cannot change it.

No system is perfectly secure. If a breach affects your information, we will inform the business concerned without delay, and help it inform you and any authority as required.

10

Your rights

You can ask:

  • to see the personal information held about you, and get a copy;
  • to correct information that is wrong or incomplete;
  • to delete your information, where it no longer needs to be kept;
  • to object to or limit how it is used;
  • to speak to a person instead of the AI assistant.

We respond within 30 days. We may ask you to confirm your identity first, so we never give your information to someone else. Making a request is free.

If you are unhappy with how we handled your information, tell us and we will try to put it right. You may also raise a complaint with the relevant authority.

11

Children

Our services are for businesses and adults. We do not knowingly collect information from children under 18. If you believe a child has shared information with Lilly, contact us and we will delete it.

12

Changes to this policy

We will update this policy when our services or the law change. The date at the top shows the latest version. We tell our client businesses before any significant change takes effect.
